Why Encamp Needs Your Credentials

We need your credentials to interact with State Portals. This integration is crucial for importing prior year submissions into Encamp and submitting prepared reports and notifications back to these portals. By doing this, we simplify your compliance reporting, minimizing the need for manual data transfer and guaranteeing precise, timely reporting.

 

Providing Your Credentials to Encamp

During the onboarding process, your dedicated Customer Success Manager will ask for your existing portal passwords. This information is gathered via a spreadsheet (the 'onboarder template') and should include the credentials for all facilities associated with the Encamp platform.

To securely transfer this sensitive information, we recommend using a secure file-sharing application like Box or Google Drive. If these options are not possible, email can serve as an alternative.

 

How Encamp Protects Your Credentials

At Encamp, the security of your credentials is our top priority. We implement stringent measures to protect your data both "in transit" and "at rest.”

In Transit: During any transfer of credentials into the Encamp application or when accessed by our automation infrastructure, your data is transmitted over a secure channel.

At Rest: When your data is stored, it's encrypted securely in our database.

At both stages, we employ 256-bit keys using the AES algorithm in Galois Counter Mode (AES-GCM) for robust encryption.

Access to Your Credentials

Access to your credentials within Encamp is strictly limited. Only members of our Services team have access to your portal credentials, and solely for compliance-related actions. These actions typically occur during customer account implementation and during report preparation and submission.

In specific circumstances, members of Encamp's Engineering team may need access. These situations may involve addressing customer-reported issues or bugs, conducting QA/QC tests for submission processes, verifying the validity of credentials, and accessing credentials via automation during submission and implementation.

 

Frequently Asked Questions

What if I don’t know my credentials?

Encamp has strong relationships with most regulatory agencies and can assist in recovering credentials or creating new accounts and moving sites to your new account. Inform your Customer Success Manager if you need this support.

What if I don’t feel comfortable providing my credentials via email or a shared file?

Instead of providing them on the onboarding template, users can directly input credentials into the Encamp application. These credentials are immediately encrypted.
